POSITION OBJECTIVE
The Student Services Program Manager provides strategic leadership and program administration and management for student-facing programs at the Case Western Reserve University Law School, fostering an enriching and supportive academic environment. The program manager plans and manages flagship events, academic support services, mentorship initiatives, and sensitive student data processes, ensuring alignment with university goals and compliance standards. This position drives operational excellence, stakeholder engagement, and continuous improvement across student programming, while directly supporting student organizations and contributing to strategic planning efforts.
ESSENTIAL FUNCTIONS
Design and deliver impactful student-facing programs that enhance the overall law school experience by supporting student success, fostering engagement, and aligning with institutional priorities. Develop program goals, timelines, and content for key initiatives such as New Student Orientation, Wellness Week, American Bar Association-mandated trainings, the Student Organization Fair, Award Ceremony, Enrichment and Engagement Series and Commencement. Create detailed run-of-show documents and contingency plans to ensure smooth execution and coordinate logistics. Collaborate with faculty, staff, student leaders, and external partners to ensure programming reflects institutional priorities and meets student needs. Prepare and monitor program budgets, track expenditures, and ensure compliance with financial policies. Develop promotional materials, manage event communications, and maintain accurate information across digital platforms including websites, calendars, and listservs. Collect feedback, analyze participation data, and prepare post-event reports to evaluate impact and inform future planning. Manage the Peer Notetaker Program providing academic documented accommodation for law students with discretion, efficiency, and alignment to institutional standards. Manage the day-to-day operations of the program, including recruitment, onboarding, and coordination of student notetakers. Design and deliver training materials and workshops for notetakers to promote effective note-taking practices and program consistency. Maintain and update the Peer Notetaker Handbook. Explore and implement innovative solutions (e.g., AI-assisted note-taking tools) to enhance service delivery and accessibility. Oversee the program budget, track notetaker stipends or incentives, and ensure timely processing of payments in accordance with university financial procedures. Develop and refine program policies and procedures to support academic success and institutional compliance. Serve as the primary point of contact for resolving program-related issues, including notetaker performance, student concerns, and logistical challenges. Work closely with the Office of Accommodated Testing and Services (OATS), faculty, and the Dean of Students to ensure seamless integration of support services. Monitor program effectiveness through feedback and data analysis, and provide regular reports to leadership on participation, outcomes, and areas for improvement. (22%)
Oversee the Mentorship Program for the Law School to cultivate a supportive and empowering community where experienced alumni and faculty generously share their time, insights, and guidance to help students navigate law school, build confidence, and prepare for meaningful legal careers. Develop and manage a matching process that considers students¿ academic interests, career goals, and personal preferences. Use surveys, interviews, or matching software to create meaningful pairings that foster trust and connection. Design resource guides for mentors and mentees to set the foundation for successful relationships. Plan and execute networking events, panel discussions, and informal meetups to build a sense of community among participants. Collect feedback through surveys and focus groups to assess the program's impact and identify areas for growth. Use data to refine matching processes, training content, and engagement strategies. Promote the program's mission and success stories to encourage participation and institutional support. Maintain clear, consistent communication with all stakeholders through newsletters, emails, and a dedicated program webpage. Work closely with alumni relations, career services, faculty, and student affairs to align the program with broader institutional goals and resources. (22%)
Oversee critical student data collection processes--research, validate, and manage information for externship documentation, transfer requests, education and good standing verifications, and bar exam eligibility--while ensuring compliance with FERPA and institutional policies. Exercise sound judgment in handling and sharing protected data across multiple systems, including CWRU-SIS, OnBase, SLATE, and other platforms. Manage key communication tools such as the Student Services webpage, calendars, advising portal, and listservs to ensure accurate and timely information flow. Develop trainings, resources, and the official Law Student Organizations Handbook to support student leaders. Provide information to students and alumni related to legal licensure, including bar certifications, character and fitness forms, practice certifications, and enrollment or graduation verifications. Coordinate closely with Academic Services, the Director of Bar Support, and the Dean of Students to ensure timely, accurate processing and issue resolution on behalf of the law school. (9%)
Oversee the department's financial operations to ensure fiscal responsibility, transparency and alignment with school policies. Develop, monitor, and analyze departmental budgets; prepare forecasts and variance reports; provide strategic recommendations to support resource planning and decision-making. Manage procurement processes, including vendor selection, contract negotiation, and purchase order creation. Ensure timely and accurate processing of vendor payments and reimbursements. Prepare regular financial reports for leadership, including budget-to-actual comparisons, expenditure tracking, and year-end summaries. (9%)

CONTACTS
Department: Regular contact with the associate dean of student services, the associate dean of enrichment and engagement, law school staff and faculty.
University: Contact with administrative departments throughout the university as required to perform essential functions.
External: Regular contact with alumni, attorneys, outside organizations, judges, and government officials.
Students: Frequent contact with students regarding experiential education programs and events.

QUALIFICATIONS
Experience: 2 years of related experience.
Education: Bachelor's degree required. Strong preference for a degree in education, or related field.

WORKING CONDITIONS
This position will be working in a professional, business environment. Occasional evenings and weekends may be required.
