Description
As a member of an administrative services team, the staff assistant will be assigned responsibilities in both the Office of Academic Services (“OAS”) and the Law Faculty Support Services (“LFSS”) departments. Responsibilities will include managing and processing student information through Workday Student, assisting with exam administration, and providing administrative support for faculty members, program administrators, and other colleagues. Much work will be confidential in nature and will require a thorough knowledge of University and Law School practices and procedures.The assistant’s time will be allocated approximately 60% to the OAS team and 40% to the LFSS team, roughly corresponding to 3 days per week with OAS and 2 days with LFSS. However, during exam periods, the assistant’s time will be allocated 100% to OAS.
The assistant will be required to work some Saturdays during exam periods. Working during graduation weekend (May) will also be required.
Primary Responsibilities
Incumbent will assist with registration needs and manage a variety of additional office tasks including assisting with bar certification requests; entering data in Workday which includes adding Student Accomplishments (CLE, LWR, Practical Training forms) and filing supporting documentation for student accomplishments in ImageNow; and working through/processing various incoming Workday Tasks, examples of tasks include processing MPRE results and facilitating requests for copies of law school applications.
Will assist office staff with various exam preparation procedures/tasks including but not limited to:
- Labeling Integrity Cards/proctor folders
- Cross checking student exam accommodations
- Cross checking student exam re-schedules
- Preparing various proctor forms for exam day
- Relief for exam proctors as well as proctoring on demand
- Assist with all exam collection/organization tasks
Will assist with commencement preparation.
Incumbent will provide a wide range of comprehensive administrative and front-line support. Duties include, but are not limited to greeting and providing information in person, via phone, zoom and email; m onitoring department email account and addressing requests at assigned intervals; a ssisting with the management of auxiliary services for the LSFF main office.
Additional tasks may include gathering data and information, creating and monitoring surveys and polls and providing relevant reports ; composing and drafting documents and correspondence for presentations, course handouts, conferences, seminars, etc. and creating, maintaining and modifying and/or ensures accuracy of content in various academic program documents, displays, reports, brochures, and/or websites, posting course material to Canvas upon request.
Will support faculty, team members, and department administration with additional duties as assigned to ensure overall department success.
Requirements/Qualifications:
- Experience in an academic setting is preferred but not required.
-High proficiency with MS Office (Word, Excel, Outlook and PowerPoint) as well as relational database experience.
-Must have sufficient comfort level with computers to allow for basic troubleshooting and problem-solving for self, student and/or faculty users. (In-House basic training is available.)
-Ability to understand and work with university policies and procedures including, but not limited to the Family Educational Rights and Protection Act (FERPA).
-Demonstrated experience working in a high volume, deadline-oriented customer focused environment and commitment to providing the highest level of customer service and responsiveness.
-Requires excellent time management, written and oral communication, as well as organizational skills; strong attention to detail and high standards for quality of work.
-Proven ability to work independently and as part of a dynamic team. Must be creative and proactive.
-Requires strong interpersonal and analytical skills, including the ability to make sound decisions based on available information and to manage difficult situations and confidential material with sensitivity and professionalism.
-This position w orks standard University business hours, 35 hours per week.
- On occasion will be required to work evenings and weekends to support Law School events including, but not limited to Commencement, Orientation, Law Exam Periods and others.
